How Unified Communications Drives Employee Efficiency

You’ve heard a lot about Unified Communications and how it’s so awesome for businesses, but you’re still not really sure you need it or how it can be used. It sounds swanky to always be accessible, but as long as you have a mobile device, you are, right? Actually it’s a lot cooler than simply carrying around a device where you can always be reached. It’s about having others understand how and when to access you based on presence technology that indicates where you are in your business day. To illustrate this, let’s consider a day in the life of Jim, a business development professional at That Cool Company, LLC.

7:00 am – Jim signs onto his email and checks his email over breakfast at home. His colleagues can see that he is active and available by email and his mobile phone.

8:00 am – He arrives at the office to his desktop computer and office phone. He logs into his computer: his instant messaging and email open and show that Jim is available for correspondence by any method.

8:30 am – Jim participates in a web conferencing meeting which he calls into: his profile indicates to other users that he is in a meeting and on the phone.

9:30 am – Jim leaves the office to drive to a client site for a meeting. Michelle back at the office in accounting sees that Jim is available by mobile phone and gives him a call to chat about an issue.

10:30 am – Jim arrives at his client’s site and his presentation meeting begins. His colleagues back at the office can see that he is presenting and do not attempt to contact him.

11:45 am – Jim’s clients have lots of questions: his meeting runs long and he will not be able to make it back to the office for a conference. Once out of the meeting, Jim finds a comfortable place in the shade and uses his mobile hotspot to remote into the conference using the video conferencing feature on his tablet. Other users can see that Jim is in a conference.

1:00 pm – Jim has earned some much deserved quiet time and sets his profile to “Do Not Disturb” from his mobile device for the duration of his lunch hour. Ron sees this, but doesn’t want to forget what he needs to tell Jim, so he sends him an email rather than calling or instant messaging him.

2:15: pm – Jim returns to the office. Throughout the rest of the day, Jim lets his colleagues know when he is unavailable by scheduling meetings or setting his system to DND and is able to efficiently complete his work.

Jim’s colleagues know how to contact him and when he is available through the use of Unified Communications. This saves his company time and money by eliminating the use of multiple communication avenues just to find him – when someone needs to reach Jim, they don’t need to ask around the office where he is or try calling and texting him to just get a moment of his time. Users know how and when to contact Jim and their other colleagues, making communication more efficient.
